How long does it take to set up POSable POS?

Most businesses can set up POSable and take their first sale in about 20-30 minutes. You sign up, run the Quick Setup wizard, add your products, add your staff and sign in on your till. There’s no installer to visit and no complicated configuration. The only thing that can take longer is card payments: your card provider (Dojo, Teya, myPOS or Gravity Payments) has to approve your merchant account first, and that’s outside our control. You can take cash sales while you wait.

Why a fast setup matters

  • You start trading sooner. Many businesses are up and running the same day they sign up.
  • You can test properly during the 15-day free trial. Because setup is quick, most of your trial goes on real trading rather than configuration.
  • You can do it yourself. No engineer visit or setup fee is needed.
  • Adding tills is easy. Adding a second till later takes minutes.

Step-by-step setup guide


1. Sign up (about 5 minutes)

Choose your plan and monthly or yearly billing, then enter your details. Your card isn’t charged until the 15-day trial ends. You’ll get a welcome email with your dashboard login and your Tenant ID, which you’ll need for your tills.


2. Run Quick Setup (about 5 minutes)

When you first sign in, the Quick Setup wizard asks for the essentials:

  • Business settings: name, address, phone, email and an optional receipt footer. These appear on your receipts.
  • Currency and tax: your currency and VAT rate
  • Card payment provider: Dojo, Teya, myPOS or Gravity Payments, or “Cash only for now” if your card account isn’t ready yet
  • Regional settings: timezone, default language and theme

3. Add your products (5 minutes to a few hours)

This is the step that varies most. Choose the method that suits you:

  • Import by CSV (fastest for large catalogues). Download the CSV templates for categories and products, fill them in or export them from your old system, and upload. See Migration to POSable.
  • Start with sample data. Admins can use the Demo Installer to load ready-made categories and products for one of 27 business types, including cafe, restaurant, bar, convenience store, clothing, butcher, deli, pet shop, pharmacy, hairdresser and gift shop. Then edit them to match your own. This needs two-factor authentication (2FA), and it replaces your existing categories and products.
  • Add products manually. This works well for small menus. Create a category, then add products with a price, barcode, VAT class and optional allergens.

Tip: Mark your best-sellers as Hot Products so they sit at the front of the till screen.


4. Add your staff (about 5 minutes)

  • Till staff: create an app user for each person. Each one gets a 6-digit PIN to sign in to the till, and you can add their work rota at the same time.
  • Managers and office staff: create dashboard users with the right permission level.


5. Set up your till (about 5 minutes per device)

  1. Install the POSable app.
    • Android: from Google Play, on a tablet running Android 10 or later, 10 inches or larger. See What hardware do I need?
    • Windows: using the POSable installer
  2. Enter your Tenant ID from your welcome email and tap Validate Tenant ID.
  3. Sign in with a staff PIN. The device registers itself automatically, up to your plan’s device limit.
  4. Optional: rename the device in Device Management (for example “Front Counter”) so it’s easy to identify.


6. Connect your printer (about 5 minutes)

Pair a Bluetooth receipt printer or plug in a USB one, then set it up under printer settings on the till. If you serve food, you can add a kitchen printer too. Products marked as needing preparation print on a kitchen ticket when the order is paid.


7. Set up card payments (once your provider approves you)

Opening a card processing account is handled by your provider, and approval times are set by them, not POSable. Apply early, ideally before or at the start of your trial. Once you’re approved:

  1. Enter your provider details in API Settings → Payments, or in Quick Setup.
  2. Connect your terminal:

Until then, choose Cash only for now and you can still trade.


8. Test and go live (about 5 minutes)

  • Take a test cash sale, print a receipt and try a refund.
  • Check that the sale appears in your dashboard under live sales and reports.
  • Used sample data? Run Clean Install in the Demo Installer before you go live. It deletes the sample categories, products and sales but keeps your staff and settings.

You’re ready to trade.


After go-live: optional extras

You don’t need these on day one, but they’re worth setting up in your first week:

  • Customer loyalty: points, offers and a QR sign-up poster. See loyalty features.
  • Stock alerts by Telegram, and supplier ordering
  • The Shop Floor web app for stock counts and deliveries on staff phones
  • Health & Safety temperature and cleaning checks
  • Extra tills. Just repeat step 5.
