How to setup Loyalty in POSable Point of Sale

POSable Loyalty System Backoffice Settings

The system within POSable is designed to be straightforward, encompassing several key pages that facilitate effective management without unnecessary complexity.

Configuring Loyalty Settings

  1. Navigate to the Loyalty SETTINGS menu option within the system interface.
  2. On the settings page, click the EDIT SETTINGS button to open the configuration dialog window.

Naming and Currency Points Configuration

  • Assign a distinctive name to your loyalty scheme for easy identification.
  • Set the Points per Currency value, which determines how many points customers earn per unit of currency spent.
    Example:
    • If your currency is set at £ and you enter 1.00, customers will earn 1 point for every £1 spent.

Additional Settings

  • Registration Bonus: Specify the number of points awarded upon customer registration.
  • Minimum Spend for Points: Define the minimum amount a customer must spend to earn points.
  • Tier Point Multipliers: Establish different point multipliers based on customer tiers to incentivize loyalty.

Customer Tiers

Implementing tiers provides customers with goals to achieve, fostering increased engagement and retention. Progression between tiers depends on purchase activity, serving as an effective buying incentive.

Points Expiry Policy

  • To allow points to never expire, leave the expiry period blank.
  • To set an expiration period, enter the desired number of days (e.g., 365 for one year).
    Example:
    • Points will expire after 365 days if this setting is applied.

Points to Currency Ratio

The “Points to Currency Ratio” determines the monetary value of each individual point earned by customers. While the system already specifies how many points are awarded per unit of currency spent, this ratio defines the actual worth of each point in your chosen currency.

For example:

  • A ratio of .10 signifies that each point is valued at 10 pence in UK GBP (£) or 10 cents in Euro (€).

Finalizing Loyalty Scheme Setup

After setting the ratio:

  • Enable any desired notification settings to keep customers informed about their points and rewards.
  • Click Save to apply your configurations.

Your loyalty scheme will then be fully operational, providing a seamless experience for your customers and effective management for your business.

QR Code and Loyalty Link

Once you navigate back to the Loyalty Settings page, you will find a unique loyalty URL and a corresponding QR code. Both elements direct customers to your personalized loyalty registration page, enabling them to sign up for your loyalty program conveniently.

You have the option to download the QR code image, which can then be printed or displayed in your physical location. This allows customers to effortlessly scan the code with their mobile devices, facilitating quick and seamless registration into your loyalty scheme.

Dashboard Overview

The dashboard provides a comprehensive overview of your loyalty program’s performance. It displays essential metrics such as the number of registered customers, total points accumulated, savings offered, and overall revenue generated or redeemed through the loyalty system. Additionally, quick links are available for easy navigation to other relevant pages within the system.

Customers Management

The Customers page presents a detailed table listing all individuals enrolled in your loyalty program. While manual addition of customers is possible, it is generally recommended that customers register themselves via the QR code registration process for streamlined onboarding. From this page, you can review customer details, adjust their points balance by adding or subtracting points, or block customers from participating in the loyalty program if necessary.

Offers Configuration

The Offers page is central to managing your loyalty incentives. Here, you can create new offers tailored to your customers’ preferences and monitor existing promotions. The page also provides information on offers that are currently active, scheduled for future deployment, or have been canceled or expired. This ensures you maintain control over your promotional activities and can adapt them as needed to maximize engagement and revenue.

Creating a New Offer

To initiate the creation of a new offer, click the Create Offer button. A dialog window will then appear, presenting various options for configuring your promotional activity.

Offer Type Options

You can select from the following offer types:

Discount Percentage

This option allows you to set a percentage discount on products or the total bill.

  • If applied to all products, the discount will be deducted from the total amount due in the POSable front-of-house application.
  • To target specific products, select the desired product from the dropdown menu.
  • Enter the percentage value in the input box without including the ‘%’ symbol.
    • Example: Enter 20 to apply a 20% discount.

Fixed Amount

This option enables you to specify a fixed monetary deduction.

  • Input the amount in currency format, such as .50 or 1.00.
  • This amount will be subtracted directly from the total or specific product price.

Buy X Get Y Free

This more complex offer involves configuring a promotion where customers purchase a certain quantity of one product and receive another product free of charge.

  • Begin by selecting the product category for the item that customers will purchase.
  • Specify the required quantity for eligibility.
  • The products within that category will load into a dropdown menu for selection.
  • Then, choose the product that customers will receive free of charge as part of this promotion. You can opt to make this 50% 25% or 10% off rather than 100% free.

Once all options are configured, proceed to save your offer according to system instructions

Free Item

This option allows you to provide a completely free item to the customer. To configure this offer:

  • Select the relevant category from the dropdown menu.
  • Once the category is chosen, the product dropdown will populate with items within that category.
  • Choose the specific product that will be offered free of charge.

Points Multiplier

This feature enables customers to earn additional points per purchase, based on their current points tier. Examples include:

  • Double points
  • Triple points
The multiplier applied depends on your system’s points settings and the customer’s assigned tier.

Bonus Points

With this option, customers can earn a fixed number of bonus points upon completing a purchase. For instance:

  • Set Bonus Points to 500.
  • After a successful transaction, if the customer redeems this offer, they will receive an additional 500 points.

Cash Back

This offer provides a monetary reward upon redemption at the point of sale. It is recommended to use this feature judiciously due to its financial implications:

  • Customers receive a cash reward during checkout when they redeem this offer.
  • Proper management is advised to prevent misuse or excessive payouts.

Minimum Points Requirement

All loyalty offers include the ability to specify a minimum points threshold that customers must meet to qualify for redemption. This encourages customers to accumulate sufficient points before claiming rewards.

Maximum Redemptions

Define the maximum number of times a customer can redeem the offer. This control helps manage the offer’s usage and prevents over-redemption.

Start and End Dates

Set specific start and end dates for your offer. Implementing defined timeframes creates a sense of urgency, leveraging FOMO (Fear of Missing Out) to motivate customers to participate promptly.

Terms and Conditions

Clearly outline any restrictions or conditions associated with the offer, such as limiting it to one use per customer. Including explicit terms ensures transparency and manages customer expectations effectively.

Finalizing the Offer

Ensure that the checkbox indicating all required fields are completed is ticked. Then, click the Save button to create your new offer successfully.

Modifying Existing Offers

If adjustments are necessary, simply click the Edit Offer button associated with the specific promotion. This action will reopen the configuration dialog window, allowing you to modify any details as needed.

Customizing the Loyalty Front of House PWA

To facilitate customer engagement with your loyalty program via a Progressive Web App (PWA), you can use the generated QR code that directs users to your personalized loyalty application.

QR Code and PWA Link Setup

  • The QR code links to a URL containing your unique Backoffice TENANT ID, ensuring customers access your specific loyalty app.
  • When customers scan the QR code, they will be prompted to save the PWA to their device, creating a convenient icon on their home screen for quick access.

Customization Options

  • Navigate to the PWA SETTINGS page within your system interface.
  • Customize the visual appearance by uploading:
    • A 192×192 pixel icon for Android devices.
    • A 512×512 pixel icon suitable for Apple devices.
  • Additionally, you can set a preferred color scheme and logo icon that will be displayed within the app and on the saved icon.

Important

  • Ensure that the full URL, including your TENANT ID, is used when sharing or embedding the link in emails or other communications. Omitting this parameter will prevent users from accessing your specific loyalty app.
  • Properly sized icons are crucial for optimal display across various devices, enhancing user experience and brand consistency.

Notifications Management in POSable

Integration with Google Firebase Messaging (FCM)

POSable Backoffice seamlessly integrates with Google Firebase Messaging (FCM) to facilitate the delivery of notifications to your loyalty program customers. This service is provided at no additional cost, and no separate Google account setup is required to utilize this feature.

Viewing Past Communications

On the NOTIFICATIONS page, you can review all previously sent messages. This history provides valuable insights into your communication strategy and customer engagement.

Sending a New Notification

To dispatch a new message:

  1. Click the SEND NOTIFICATION button.
  2. Compose the content of your message within the provided interface.
  3. Confirm and click Send to deliver the notification.

All customers who have granted permission to receive notifications will then be notified accordingly. It is important to note that customer opt-in preferences are entirely under their control; you cannot mandate or enforce notification receipt.

Maximizing Loyalty Engagement

Utilizing notifications effectively allows you to enhance your loyalty program by informing customers about current promotions, upcoming offers, or important updates. This proactive communication fosters increased engagement and encourages repeat business.

Loyalty Insights

Viewing Spending Insights

Access the Spending Insights page to obtain a comprehensive overview of your loyalty programme’s performance. This page provides detailed analytics on customer spending patterns, points accumulation, and overall engagement metrics, enabling you to assess the effectiveness of your loyalty initiatives.

Exporting Data

For further analysis or record-keeping, you have the option to export the insights data in various formats:

  • CSV: Suitable for spreadsheet applications and detailed data manipulation.
