How to manage products in the POSable Backoffice

Products

In the POSable Backoffice click on the menu link PRODUCTS to view all your current products. Edit, Archive, Download, Upload or to create a New Product.

A table of all your current enabled products will be displayed showing their attributes, status, POR, color, HOT status and stock level.

Creating a New Product

Creating a product in POSable is very easy and can be done one product at a time or by uploading a CSV and creating them in bulk.

If you wish to bulk import then we advise that you download our template to ensure you have the correct structure. This is a CSV file which can be edited in numerous applications both offline and online. Search for CSV editor if you do not have one.

Once you are ready to import click on the import button, select your file and map any fields that have not been determined. Click upload and the system will upload the data into your backoffice.

If you wish to create a single product simply click the Add Product button.

Product Options
During product creation you will note that there are many required fields. These all have a red asterix next to them and must contain information for the product to be created.

Whilst many of the fields are self-explanatory here is an explanation of some of the other, potentially confusing, options.

SKU – This is a unique identifier for your product. We recommend using the same identifier that your wholesaler/supplier uses as this will help you re-order when required.

Barcodes – Not all products have a barcode and some have multiple if you purchase the same type of item but from more than one supplier. If you have no barcode you can leave blank. If you have multiple barcodes enter one which will act as a primary barcode for product searches. Then add the rest using the add another barcode button. What this achieves is accurate reporting on which barcodes have sold even for the same product.

VAT/TAX Rate – If you are not VAT/Tax registered then select exempt. The other options apply to what type of product you are creating the relevant tax status. For example: UK Children Clothing are zero-rated (not exempt). Cold Pizza is also a UK zero-rated product but HOT Pizza is Standard Rate.
Each country has its own VAT/Tax rules. Please consult your accountant for the correct information.

HOT Status – HOT products are displayed on the POSable Front of House APP in their own panel next to the categories/products panel.
This panel serves to enable quick selection of your fast moving products – The things you sell the most so your staff can easily find them.
Select IS A HOT PRODUCT for it to be displayed in this panel.

When complete. Click the SAVE button and your product will be entered into the system.

Deleting Products

Products are not deleted in POSable.

Why? if you have sales data for products and then deleted the products the historical sales data will make no sense.
Therefore, POSable archives products so that searchable and downloadable category, sales and product data remains complete and intact.

POSable does not restrict the amount of products that you can have so archiving is not going to impact your usability of the POSable Backoffice.

There is also further advantages of archiving. You can create seasonal products that you only wish to be visible in the POSable Front of House APP at certain times.
For example: Christmas or Easter can have enabled categories and products that you then archive again until the following year.

Price Control

On the product page we have a button called PRICE CONTROL. This button enables you to amend the price of your products in your inventory.

Filter by product name or category also enables you to quickly edit products and select all enables you to implement bulk changes.

Select the product(s) that you wish to amend and then select the option of percentage or fixed amount. Enter the value and select if it is an increase or decrease.

For example: Selecting all products in Beverages will list and check all the products you have in the Beverages category. Select percentage. 10.00 and increase and when you click the button Apply Price Changes all of the products selected will increase in price.

Stock Alerts

POSable has the functionality to inform you of low stock.
