How to use the POSable Shop Floor app for stock and Health & Safety checks

Shop Floor is POSable’s web app for staff. It runs on a phone or tablet and doesn’t use a till licence. To open it, scan the Shop Floor QR code (or open the link) from the Shop Floor section of the dashboard, then sign in with your usual 6-digit till PIN. Staff can then check and adjust stock, run quick counts, see low-stock items, receive deliveries and complete the Health & Safety checks a manager has set up in the dashboard. It works offline too. This guide is for managers and staff.

Important: Health & Safety checks are set up in the dashboard and completed in Shop Floor.

Why it matters

• No extra till licences. Use any phone or tablet with a browser.
• Count stock where it is. In the stockroom, the cellar or on the shop floor.
• Fewer missed checks. Health & Safety records are kept with the rest of your POSable data.

Step-by-step: get started

1. Find the Shop Floor QR code (manager)

In the dashboard, open the Shop Floor section. You’ll find the Shop Floor QR code and link. Print the QR code or share the link with staff.

2. Open Shop Floor and sign in

1. Scan the QR code with the phone or tablet’s camera, or open the link in the browser.
2. Sign in with your usual 6-digit till PIN.

Tip: Add Shop Floor to the device’s home screen so it’s quick to open next time.

3. Check and adjust stock

• Scan a product to check its stock, adjust the quantity or add it to a supplier order.
• Quick count an area, review any differences and apply corrections.
• See low-stock items with suggested reorder quantities, based on recent sales, case size and lead time.
• Review stock movement history.

4. Receive deliveries

Scan the warehouse (case or pack) barcodes as a delivery comes in. The right number of units is added to stock. On AI plans, you can also create a warehouse master on delivery when a case barcode is new.

Health & Safety checks

1. Manager: set up your checks in the dashboard, for example fridge and freezer temperatures, cleaning, hygiene and damages.
2. Staff: open Shop Floor, complete each check and save it.

On AI plans, Health & Safety records can be exported as CSV, Excel or PDF for audits.

AI plans: automatic stock orders

On AI plans, Shop Floor can use AI to create stock orders automatically, if it’s turned on in the dashboard. Each one is created as a draft and always needs a manager’s approval before it’s sent to the supplier.

Working offline

Stock adjustments and counts made without signal are saved on the phone or tablet and sent when the connection comes back. That’s handy in stockrooms and cellars with poor signal.

Troubleshooting

My PIN doesn’t work in Shop Floor

• Use the same 6-digit PIN as on the till. If it still fails, ask a manager to check your staff account.

I can’t find a Health & Safety check

• Checks have to be set up in the dashboard first.

My counts haven’t appeared in the dashboard

• If you were offline, reconnect and keep Shop Floor open until they send.
