Violations will result in immediate billing at the current monthly rate, possible suspension, and liability for subscription fees. 4.4 Trial to Paid Conversion Unless cancelled before the trial ends, your subscription automatically converts to a paid plan. 4.5 Subscription Commitment By purchasing a monthly or annual subscription, the Customer acknowledges that they have first had the opportunity to evaluate the Service during the available free trial period. Following commencement of a paid subscription, all subscription fees become payable in accordance with the selected subscription plan and are non-refundable except where POSable expressly agrees otherwise in writing. 5\. Refund Policy 5.1 Free Trial POSable may offer a free trial period for new customers. The purpose of the trial is to allow prospective customers to evaluate the Service before entering into a paid subscription. Customers are encouraged to fully evaluate the Service during the trial period. 5.2 Commencement of Paid Subscription Upon expiry of the free trial, the customer’s selected subscription shall commence automatically unless cancelled before the trial ends. The first subscription payment confirms acceptance of these Terms. 5.3 No Refund Policy Because POSable is supplied exclusively under business-to-business agreements, all subscription payments are non-refundable. Once a paid subscription has commenced: no refunds shall be provided; no partial refunds shall be provided; no pro-rata refunds shall be provided; no credits shall be issued for unused subscription time; cancellation shall not give rise to any refund entitlement. 5.4 Monthly Subscriptions Monthly subscriptions remain active until cancelled. Cancellation prevents future renewals only. Any current subscription period continues until its scheduled expiry. 5.5 Annual Subscriptions Annual subscriptions provide access to the Service for a fixed twelve-month subscription term. Cancellation prevents automatic renewal at the end of the subscription term only. Cancellation during the subscription period does not terminate the current subscription and does not entitle the customer to any refund or credit. 5.6 Exceptional Circumstances POSable may, entirely at its sole discretion, issue a goodwill refund where exceptional circumstances exist. Any such payment shall not establish any obligation or precedent for future refunds. 6\. Intellectual Property Rights 6.1 POSable Ownership We retain exclusive rights to all aspects of the Service, including software, source code, dashboard, applications, graphics, logos, documentation, trademarks, and derivative works. 6.2 Limited License Subject to compliance with these Terms, we grant you a limited, non-exclusive, non-transferable, revocable license to use the Service for internal business purposes and to install the Android app on owned devices. 6.3 Prohibited Actions You agree not to reverse engineer, decompile, disable licensing, copy, rent, sublicense, distribute, or use the Service to develop competing products, nor remove proprietary notices. 6.4 Unlicensed Use Unlicensed use—including post-termination access, unauthorized devices or users, or bypassing licensing—constitutes infringement and may result in termination and legal action. 7\. Client Content and Data 7.1 Ownership You retain ownership of all Client Content uploaded or stored within the Service. 7.2 Client Content License to POSable By using the Service, you grant POSable a limited, worldwide, non-exclusive license to: Host, store, and backup your Client Content Process and display your Client Content as necessary to provide the Service Make temporary copies of Client Content for caching and performance purposes Aggregate and anonymize Client Content with data from other users for the purposes described in Section 7.8 This license terminates when you delete your Client Content or terminate your account, subject to Section 7.7, except for aggregated and anonymized data which, once anonymized, is no longer identifiable to you and may continue to be used as described in Section 7.8. 7.3 Client Responsibilities You are solely responsible for the legality, rights, accuracy, and acquisition of Client Content. 7.4 Content Screening We do not proactively screen or endorse Client Content. 7.5 Right to Remove Content We may remove or access content to comply with law, enforce these Terms, address security risks, or satisfy data protection requirements. 7.6 Prohibited Content Content must not be illegal, infringing, malicious, or violate privacy or other rights. 7.7 Data Retention After Cancellation Data may be retained for up to 90 days post-cancellation (unless earlier deletion requested). Billing data is retained for 6 years (UK) or 10 years (EU). Immediate deletion must be requested at cancellation. 7.8 Aggregated and Anonymized Data 7.8.1 Our Rights to Aggregated Data POSable may aggregate and anonymize Client Content and usage data across all users of the Service. Account Access and Security 8.1 Credentials You must maintain confidentiality of account credentials and are responsible for all activity under your account. 8.2 Unauthorized Access Report suspected unauthorized access immediately and cooperate with investigations. 8.3 Data Access Responsibility You control user permissions and must comply with applicable data protection laws. 8.4 Non-Transferability Accounts are non-transferable. Billing contacts within the same business may change, but transferring to another entity is prohibited. 9\. Cancellation and Termination 9.1 Cancellation by Client Cancel via the billing section of your dashboard (Account Dashboard → Billing → Cancel Subscription). This is the only accepted method. 9.2 Prohibited Cancellation Methods Requests via email, phone, social media, chat, or postal mail are invalid and will not stop billing. 9.3 Effective Date Cancellation prevents future renewal of the subscription only. Cancellation does not terminate the current paid subscription period and does not entitle the customer to any refund, credit or partial reimbursement. Access to the Service continues until expiry of the current prepaid subscription period. 9.4 Termination by POSable We may suspend or terminate immediately for breach, fraud, illegal use, security risks, payment failure, or trial abuse. 9.5 Effects of Termination Access ceases immediately, data handled per Section 7.7, and outstanding fees remain due. Relevant provisions survive termination. 10\. Updates and Modifications to the Service 10.1 Service Updates We may release updates, modify features, or change technical requirements at any time. 10.2 Automatic Coverage All updates and modifications fall under these Terms (and any applicable additional terms) upon release. 10.3 No Obligation to Update We are not obligated to maintain or deliver specific features; discontinued features may occur without notice. 10.4 Update Notifications We may give notice of significant updates, but are not required to do so. 11\. Obviously, the larger the screen the less scrolling if you have many categories and products you will need to do. - Printer: USB or Bluetooth thermal 80mm receipt printer (e.g., Munbyn). POSable is compatible with a wide range of USB/Bluetooth Thermal printers. We have not restricted POSable to expensive models unlike systems such as Square which is compatible with printers costing £200+ - Scanner: USB or Bluetooth (NetumScan recommended; must be CCD-capable for loyalty screens). Both full size and smaller cash drawers are supported with POSable. Cash payments can be taken with POSable and it will distingush sales made paid for using cash or card methods. - Can Customers Split Payments? Yes, using either myPOS or Stripe as your card provider simply press the SPLIT PAYMENT button and enter the cash to be paid first and the remaining amount will be immediately requested on the card terminal. At the request by the customer the POSable device operator can press the split payment option and proceed to take the payment. Yes, for each sale you will get the option to print a receipt. Enable this setting to activate alerts when stock reaches or drops below this number. 6. **stock\_overselling** Enable this setting if you wish to allow sales beyond current stock levels; disable it if overselling is not permitted. ## Payment Provider Configuration: myPOS and Stripe To utilize Stripe as your payment provider, it is necessary to deactivate the default myPOS system. This can be achieved by disabling myPOS and enabling Stripe within the settings. ### Configuring Stripe Payment Integration 1. **Create Stripe API Keys** Follow the official Stripe documentation to generate your secret (`stripe_sk`) and public (`stripe_pk`) keys. These credentials are essential for secure transaction processing. 2. **Enter API Keys in Settings** Input the obtained keys into the respective fields: - `stripe_sk` for the secret key - `stripe_pk` for the public key 3. **Activate Live Mode** Scroll further down the API settings page and locate the `stripe_livemode` option. For example, if you are in the UK enter the timezone value Europe/London **Now complete the following settings;** stock stock\_admin stock\_value stock\_overselling These are the API settings for stock alerts and management. If you wish to receive email alerts for when a product has low stock then enter values and enable these settings. For example; I wish to be notified when stock is under a value of 10 I would therefore enable the setting stock and change the value disabled to enabled. I enter my email address as the value for stock\_admin and enable. I enter the value 10 as the stock\_value and enable. This will then tell the POSable system to check the stock value number and if it reaches 10 or lower to email me so I know that the stock is running low. stock\_overselling – This setting allows for stock to still be sold should you have it but have not set the stock amount. This will continue until stock reaches zero and then go into minus figures. stock and stock value MUST be enabled and set for stock alerts to work. **Next we have settings for TELEGRAM** This is a messaging app that you can obtain from the Google Play Store or Apple App Store. By setting up Telegram with your own channel and telegram bot. You can also get stock alerts to your Telegram channel. Follow the Telegram setup document here on how to set this up and then return to the API settings to enter your telegram\_bot\_api telegram\_channel\_id and set telegram\_notifications value to enabled and also enable it. Also enable notifcations\_enable and set to 1 with the setting enabled and set low\_stock\_threshold to the same value as stock\_value Telegram will now also send notifications for low stocks **Next we have the payment provider settings myPOS and Stripe** By default myPOS is enabled so if you wish to use Stripe you will need to disable myPOS and enable Stripe. myPOS does not require any api keys whereas Stripe will require that you create a secret and private key. Follow the instructions here to create your Stripe keys and then enter them into the stripe\_sk and stripe\_pk values and enable Scroll further down the settings API page and set stripe\_livemode to enabled. **This is important** as otherwise the Stripe system in POSable will assume you are still Stripe Development mode and will not process any card payments even though the system will go through the motions that it is taking a card payment. The setting printer\_type determines what receipt printer you intend to use with POSable. By default it is set to USB so only change this if you wish to use a BlueTooth type printer. For taxation set the vat and further down the option reduced\_vat options to the value for your country. For example for the UK this would be 20.00 and 5.00 Enable both if you intend to charge vat on your sales. **Finally we have some administration settings** max\_login\_attempts is for your POSable Backoffice. This allows you to control how many failed times someone can attempt to login to the Backoffice before been told to wait. two\_factor\_required. If enabled this will require all Backoffice users to use 2FA to login. email\_notifications. If using the above setting max\_login\_attempts we recommend that you leave this set as 1 enabled so that you receive notifications from the POSable Backoffice. default\_language – If you selected a different language other than English EN when you registered or logged in then this will automatically get updated to your chosen language. **Loyalty PWA Settings** There is no need to change these settings here. You have the capability to review user details, manage their schedules, and perform modifications such as editing or deleting user accounts to suit your operational requirements. ### Adding a New User To add a new user, click the **Add Employee** button and fill in the necessary information. Once completed, press **Submit**, and the new user will gain immediate access to the POSable application. The POSable app employs a 6-digit PIN login system derived from the user’s date of birth entered during registration. For example, if the date of birth is entered as 01/02/198, the generated PIN for login purposes will be **01 02 80**. ### Editing User Details You may update a user’s information at any time by clicking the **Edit** button associated with their profile. This allows you to modify their personal details, adjust their rate of pay, or generate a new PIN if the date of birth-based system is deemed unsuitable for your security preferences. ### Deleting a user Simply click on the delete button and confirm the action to remove an employee. Note this will requires sufficient user rights by the person logged into the dashboard. ## Employee Schedule Management To access the comprehensive schedule for your employees, click on the **Schedule Calendar** button. This action will open a pop-up calendar that is color-coded to clearly indicate which employees are working and their assigned hours. When your category has been created you can edit it at anytime using the edit button the category listing. ### Deleting Categories Categories are not deleted in POSable. Why? if you made sales for products in a category and then deleted the products and category then the historical sales data will make no sense. Therefore, POSable archives categories so that searchable and downloadable category, sales and product data remains complete and intact. POSable does not restrict the amount of categories that you can have so archiving is not going to impact your usability of the POSable Backoffice. There is also further advantages of archiving. You can create seasonal categories that you only wish to be visible in the POSable Front of House APP at certain times. These all have a red asterix next to them and must contain information for the product to be created. Whilst many of the fields are self-explanatory here is an explanation of some of the other, potentially confusing, options. SKU – This is a unique identifier for your product. We recommend using the same identifier that your wholesaler/supplier uses as this will help you re-order when required. Barcodes – Not all products have a barcode and some have multiple if you purchase the same type of item but from more than one supplier. If you have no barcode you can leave blank. If you have multiple barcodes enter one which will act as a primary barcode for product searches. Then add the rest using the add another barcode button. What this achieves is accurate reporting on which barcodes have sold even for the same product. VAT/TAX Rate – If you are not VAT/Tax registered then select exempt. The other options apply to what type of product you are creating the relevant tax status. For example: UK Children Clothing are zero-rated (not exempt). Cold Pizza is also a UK zero-rated product but HOT Pizza is Standard Rate. Each country has its own VAT/Tax rules. Please consult your accountant for the correct information. HOT Status – HOT products are displayed on the POSable Front of House APP in their own panel next to the categories/products panel.
